Shipping Personal Belongings from Malaysia Back to China: A Real Relocation Case

We were recently contacted by a customer who was preparing to return to China after living in Malaysia for several years.

Over time, the customer had accumulated a considerable amount of personal belongings, including clothing, shoes, household items, kitchenware, documents, small appliances, daily necessities and personal keepsakes. The shipment was no longer something that could be handled with one or two suitcases.

Leaving everything behind and purchasing the same items again in China would result in unnecessary losses. However, shipping all the belongings back also raised several concerns, including transportation cost, customs clearance requirements, packing arrangements and restrictions on what could be imported into China.

At the beginning of the conversation, the customer spoke in English, most likely because he was unsure whether our team could communicate in Chinese. Once he learned that our team could assist in Chinese, English and Bahasa Malaysia, the discussion became much easier.

Clear communication is especially important for personal effects shipments because a misunderstanding about the cargo description, product condition or restricted items may affect the entire shipment.

Many people assume that shipping personal belongings back to China is similar to sending a normal courier parcel.

In reality, the process is more complicated.

China applies strict controls to the importation of personal effects. A customer cannot simply pack everything in the house and expect all items to be accepted for transportation and customs clearance.

Before arranging the shipment, several matters must be checked carefully.

Are the items genuinely used personal belongings?

Are there any brand-new or unopened products?

Do any items contain batteries?

Are there any liquids, aerosols, powders, food products or restricted materials?

Are the quantities reasonable for personal use?

Could any item be treated as commercial merchandise rather than personal effects?

These questions are important because the classification of the goods may affect both transportation acceptance and customs clearance in China.

To reduce the risk of problems after departure, we did not rush to provide a final quotation.

Instead, we asked the customer to photograph the items that he intended to ship. The customer sent us pictures of almost everything in the house so that we could review the goods before collection.

The checking process took approximately three days.

During this period, the customer continued to send additional photographs, while our team reviewed and classified the items.

Some items were acceptable for shipment.

Some items required further confirmation.

Certain products had to be removed from their original retail packaging.

Items containing batteries were not accepted under the available shipping arrangement.

We also advised the customer not to include several brand-new products, as these could be treated differently from used personal belongings and might affect the customs clearance of the entire shipment.

From the customer’s point of view, this checking process may appear time-consuming.

However, the most serious problems usually happen when cargo has already left Malaysia and is later found to contain unacceptable or undeclared items.

At that stage, the shipment may face customs inspection, storage charges, return arrangements, cargo disposal or additional handling costs.

It is always more practical to identify these issues before collection and before international transportation begins.

After the cargo review was completed, we arranged for our driver to collect the belongings on Friday.

The customer remained concerned about the total weight because the driver would not be carrying a weighing scale during collection.

This is a common question in personal effects shipments.

The driver’s responsibility is to collect and transport the cargo safely to the warehouse. The driver does not determine the final chargeable weight at the customer’s premises.

The final weight can only be confirmed after the cargo arrives at the warehouse.

At the warehouse, the items are checked again, sorted where necessary, repacked, reinforced and weighed using the warehouse’s calibrated weighing equipment.

If the original cartons are weak, damaged or unsuitable for international transportation, they may need to be replaced.

Protective materials may also be added to reduce the risk of damage during handling and transit.

These packing adjustments can change both the gross weight and the final shipment dimensions.

For this reason, the final transportation charge must be based on the actual packed weight and measurements recorded by the warehouse, rather than an estimate made during collection.

The customer was therefore informed clearly that the driver would handle the collection, while the final weight and shipment volume would be confirmed only after packing and measurement had been completed.

This is the fairest and most accurate method for both the customer and the logistics provider.

For customers who have lived overseas for several years, shipping personal belongings home is not simply a matter of choosing the lowest rate per kilogram.

The more important questions are whether the logistics provider understands personal effects requirements, whether the goods are reviewed before shipment, whether packing risks are identified early and whether the shipment is arranged according to the applicable transport and customs requirements.

A slightly lower freight rate may not result in a lower total cost if the shipment later faces rejection, repacking, storage, customs inspection or return charges.
